How to avoid damaging an original document before examination

Why you must not trace over a signature, add marks or fold the document at the element in question.

Do not trace over the disputed signature in pencil, write explanations beside it, fold the sheet at the signature, laminate the document or cut out a fragment.

It is preferable to keep the original in a separate protective sleeve and show the expert the entire document.

Important: this article does not replace consultation on specific materials. Send the document and specimens for assessment.

Keep the document intact

Do not detach the signature area, laminate the document or add marks beside the strokes. Preserve the original folds, fastenings and arrangement of the sheets. It is preferable to agree packaging and permissible handling with the specialist, taking account of the document's material and condition.

Keep the working copy separate from the original

A scan or photograph may be prepared for discussion, but neither replaces the original for every task. If explanatory graphic marks are used, add them only to a separate copy. Record who handled the document and when, and what operations were performed before it was received.

  • Avoid exposure to moisture, heat and household chemicals.
  • Do not try to develop or trace over a faint stroke yourself.
  • Preserve the envelope and relevant accompanying materials.
  • Provide comparison specimens with a description of their provenance.

If the document has already been damaged or treated, it is important to disclose this explicitly. Known intervention can be taken into account as a limitation; undisclosed treatment makes the detected features harder to explain.

Consultation and preliminary assessment

Describe the document and the question about the signature or handwriting

State which document is to be examined, whether the original exists, which specimens are available and why the report is needed: court, a notary, an inheritance dispute, a corporate dispute or a pretrial claim.

How data is processed: Personal Data Processing Policy. Attach only materials relevant to the inspection; obscure unnecessary data about other people.

For preliminary assessment, you may attach a photograph of the document and state whether the original and signature/handwriting specimens are available.

Attachments: up to 10 files of up to 10 MB each, with a maximum combined size of 15 MB. If a file is rejected, the enquiry is not sent.
